Registering for the Scouts and Schools Monster Raffle

We want to sign up our Scout Group, School, or Community group to the raffle, are we eligible?

Any Scout Group, School, and Community group located in Australian Capital Territory, New South Wales, and Victoria can register for the raffle, subject to approval by Scouts Victoria.

Is this a digital raffle? What does that mean?

Yes, the raffle is digital which means there are no more paper tickets and all sales happen online. There are no more chasing lost tickets, missing cash or spending hours counting tickets and money. All transactions take place within a website personalised to your organisation and buyers receive tickets directly via email, meaning less administration for you.

How do we register for the raffle?

  1. Click on the link: https://scoutsvic.raffletix.com.au and at the top right hand corner, click on the Registration button
  2. Create a login
  3. You will be sent an email asking you to confirm your email address (check your Junk folder in case the message ends up there)
  4. Once you have confirmed your email address, select your Scout Group, School, or Community group
  5. Once you have selected your Scout Group, School, or Community group, click the Start Now button to fill in your organisation's relevant details (you will need to provide your organisation's bank details) and press Submit
  6. RaffleTix will review your submission and enable the account or contact you for further information. You will be sent an email when your account has been enabled.
  7. When you receive the email that your account has been enabled, you can log in to the raffle Admin portal and start selling raffle tickets!

Someone from our organisation has registered us for the raffle but we don't know the login details, what can we do?

In any situation where you are having problems with your account please email support@raffletix.com.au.

Selling tickets

How do we sell raffle tickets if it's online?

Every participating organisation will receive a unique URL where people can buy raffle tickets to support the organisation. The best way to get the word out about the raffle is to post the link EVERYWHERE. Put it on all your social media channels, email it to members, put it in the newsletter, send it out via group chats and tell your friends about it.

I'm not the most tech savvy person, what can I do to be successful in the raffle?

If there is someone in your organisation that is tech savvy, get them to register for the raffle but also get them to take key people in your organisation through the Administration portal and explain how to use it. The Administration portal is very user friendly and having someone who is good with technology can help you get the most out of it.

What are the payment options for a buyer?

If buying a ticket online through the raffle website, then buyers are able to pay for a raffle ticket via a banking card (Visa, Mastercard, and American Express). Please be aware there is a charge of 1.70% plus $0.30 for using a banking card.

If buying a ticket from an in-person seller, then buyers have the option to pay with card or cash. If the buyer pays in cash, there are no processing fees. More information about in-person selling in the next question.

The buyer is hesitant to provide me with their credit or debit card details, can I trust the online payment system?

The RaffleTix platform uses the Stripe payment processing platform, now considered one of the most popular and secure of all the payment processing services available. Any credit or debit card details are encrypted, and the details are NOT stored. For more information about Stripe's security, see: stripe.com/docs/security/stripe.

I miss using paper tickets and having the pester power. Can I still sell tickets in-person?

Of course, even though the raffle is digital it is still possible to do in-person transactions. You can register people from your organisation to become In-Person Sellers. The organisation administrator needs to do this, here's how:

  1. In your organisation portal, click on the Invite Ticket Sellers tab
  2. Then click on the Invite a Ticket Seller button
  3. Each Ticket Seller will be given a unique Raffle Seller Link, which they can share on their socials, or via email, QR code, SMS, or messaging.
  4. When you fill out the Ticket Seller's information, you can choose if you want them to be an In-Person Seller
  5. The Ticket Seller will receive a system-generated email message that contains their unique Raffle Seller Link, as well as a link to a page where they can track their sales performance.
  6. If you have chosen to invite the Ticket Seller to also be an In-Person Seller, the email will include login details so that the Ticket Seller can log in and start doing In-Person Sales.

When selling tickets in-person:

  1. The In-Person Seller logs in to the raffle website via their phone or tablet and is taken to the In-Person Sales page for their club
  2. The In-Person Seller enters the ticket buyer's information into the payment form
  3. The In-Person Seller can choose cash (no credit card fees) or card (credit card fees)
  4. The In-Person Seller confirms the purchase and collects the cash, or enters the ticket buyer's card details
  5. The ticket buyer receives an instant SMS message confirming their purchase

  • Set up a stall at your local shopping centre
  • In people's offices
  • Annual fundraising events
  • School functions
  • Ask relatives
  • Scout events

On your Administration portal you will have access to:

  • QR Code that you can download
  • Promotional posters – post these around the organisation, local schools, shopping centres. These are great because they show the AMAZING prizes that people can win
  • Social posts – post these on your Instagram, Facebook, organisation Facebook group, Snapchat, X, and Tik Tok. If you can, link the organisation's unique URL so buyers can go directly to your organisation

I read we need to deposit my cash sales, why is this the case?

Due to compliance reasons and financial reporting, all IN-PERSON CASH SALES need to be deposited to the RaffleTix Trust bank account by the due date (see Key Dates above). If cash sales are not deposited to the account by this date, then the tickets will not be accepted into the raffle.

When will we receive our funds back?

All funds earned will be remitted in full to organisations within four weeks of the raffle draw. If your organisation has not received its funds within four weeks of the raffle draw, please email support@raffletix.com.au.
